Your recurring subscription is the sum of every module you switch on, multiplied by the number of active users assigned to each one. Most modules — timesheets, task management, resource planning, expense tracking, invoicing and reporting — are priced per user, per month, so a five-person team using a given module pays for five seats of that module. A small number of account-wide modules are billed at a single fixed monthly rate regardless of headcount, and these are clearly labelled so you always know which line items scale with your team and which do not. One-time charges such as data migration and onboarding training appear separately and never recur, keeping your ongoing monthly figure clean and easy to forecast.
Yes. Monthly subscriptions carry no long-term lock-in, so you can cancel whenever you choose from your account settings or by contacting our team. When you cancel, your plan remains active until the end of the current billing period you have already paid for, after which it will not renew and no further charges are applied. We do not impose cancellation penalties or exit fees. Before your access ends we recommend exporting any records you wish to retain so your historical project, timesheet and invoice data stays with you.
At the end of your trial, your account automatically converts to a paid subscription based on the modules and number of users you configured, and your first invoice is issued at that point. You will receive a reminder before the trial concludes so the transition is never a surprise. If Arcprojects.io is not the right fit, you can cancel any time before the trial ends and you will not be charged. Nothing you set up during the trial is lost when you continue — your projects, tasks, timesheets and settings all carry straight over into your live subscription.
Absolutely. The platform is modular by design, so you are never locked into the package you started with. You can switch additional modules on as new needs emerge — for example adding resource planning when you begin scheduling across multiple projects, or invoicing once you are ready to bill clients directly from the system. You can also remove modules you no longer use. Changes take effect immediately and your subscription total is adjusted to reflect your current configuration, with any difference reconciled on your next invoice. There is no re-quoting process and no disruption to your live data when you adjust your package.
A seat corresponds to one active user account with login access to the modules you have enabled. You are billed for the number of active seats in a given billing period, not for invitations that were never accepted or for accounts you have deactivated. When you add a colleague mid-cycle, their seat is prorated so you only pay for the portion of the month they were active. Deactivating a user frees that seat for reassignment, which is useful for seasonal or contract staff. There is no minimum seat requirement, so a sole consultant and a hundred-person practice are both fully supported under the same flexible model.
Monthly billing is the standard option and gives you maximum flexibility to scale up or down. For teams that prefer to commit for a longer term, annual billing arrangements and volume pricing for larger user counts are available on request — these are typically arranged as part of a Business or Enterprise agreement.
