Yes. Every new account includes a 30-day free trial so you can explore Arcprojects.io without any commitment. A payment method is required to activate the trial, but you will not be charged until the trial period ends, and you can cancel at any time before it concludes.
Your account converts to a paid subscription based on the modules and number of users you configured, and your first invoice is issued at that point. You receive a reminder before the trial ends, and everything you set up — projects, tasks, timesheets and settings — carries straight over.
Your subscription is the sum of every module you switch on, multiplied by the number of active users assigned to it. Most modules are priced per user, per month; a few account-wide modules are billed at a fixed monthly rate and clearly labelled. There is no minimum user count, and one-time charges such as data migration and training appear separately and never recur.
A seat is one active user with login access to your enabled modules. You are billed for active seats in the billing period — not for unaccepted invitations or deactivated accounts. Colleagues added mid-cycle are prorated, and deactivating a user frees the seat for reassignment, which suits seasonal or contract staff.
Yes. You can upgrade, downgrade, or switch modules on and off at any time. Changes take effect immediately, your subscription total adjusts to match, and any difference is reconciled on your next invoice — with no re-quoting and no disruption to your data.
Monthly subscriptions run on a rolling basis with no minimum term and no cancellation penalties. When you cancel, your plan stays active until the end of the period you have already paid for and then simply does not renew. Enterprise agreements may include agreed contract terms, always set out in writing before you subscribe.
A one-time implementation fee covers installation, data migration from your existing systems, initial configuration, and staff training. It is shown separately from your recurring subscription, so you always know exactly what is a one-off charge and what repeats.
Monthly billing is the standard option and gives you the most flexibility. Annual billing and volume pricing for larger user counts are available on request, typically as part of a Business or Enterprise agreement — contact our team for a quote tailored to your headcount and modules.
Payments are processed securely through Stripe, supporting all major credit and debit cards including Visa, Mastercard and American Express. Card details stay within Stripe’s PCI-compliant environment and are never stored on our servers. For larger Enterprise agreements that need a specific currency or bank transfer, contact us to confirm the options for your region.
Your data is hosted on secure, access-controlled cloud infrastructure and encrypted both in transit and at rest. Access follows least-privilege principles, activity is logged, regular backups protect against loss, and we follow GDPR principles. Each customer’s data is logically separated, and we never sell or share it.
Yes — your data belongs to you. Projects, tasks, timesheet entries, expenses and invoices can be exported in standard formats for use in spreadsheets, accounting tools, or another system. We recommend running a final export before closing an account.
Payments and subscriptions run through Stripe, with PayPal supported where required. Integrations with QuickBooks Online and Xero keep invoices and expenses in step with your accounting ledger. Enterprise customers can request API access and bespoke integrations with ERP, payroll or single sign-on systems.
Every subscription includes email support and help documentation. Higher tiers add faster, prioritised responses, and Enterprise customers receive a dedicated account manager who oversees onboarding, coordinates training, and handles ongoing queries personally.
